It’s essential to stay up to date with reservations and keep everyone in the loop, even if they’re not team members on iGMS.
If you regularly work with external vendors like concierge services or cleaning companies, the new Email Notifications for Reservation Events can help ensure that everyone is on the same page about any reservations. All the recipients are always up to date, whether a reservation was received, altered, or canceled.
Here are a couple of reasons why you should use Email Notifications.
Your vendor doesn’t necessarily need to be a team member in iGMS. Our software allows you to enable email notifications about any reservation for everyone, iGMS team member or not. All you need to do is set it up and add their email address and name.
What’s more, you can also customize the email notification. The email notification template editor is similar to our Message Template editor, which you are most likely familiar with. This means that you can easily edit or delete parts so that your email notification fits the purpose.
You can also use predefined variables to make the content more personalized for each recipient.
Whether you need to keep 2 or 200 people in the loop, it’s not a problem. As long as you know their email addresses, you can create as many customizable templates and add as many recipients as you like.
Here are some examples of how you can start using the new Email Notifications.
If you work with a company that assigns concierges to your check-ins, it might be near to impossible to add each and every concierge as a team member to iGMS. In this case, you can just create a notification that will be sent to the main email address of the vendor – for example, email@example.com. They will then assign the right person for you.
Some hosts want their cleaners to stay up to date with check-ins, cancelations, and alterations. If that’s your case, you can add the cleaner’s email address, even if they are already a team member. Apart from the regular notifications about cleaning tasks, they will also know when a reservation is canceled or altered.
The same works with any team member, whether it’s a Manager, Property Owner, or even an Accountant.
You can find the Email Notifications for Reservation Events in the Property Editor of each property, under the Management tab. It’s right under the management fee calculation section.
To set it up for your first recipient – for example, a concierge company – enter their email address, their name, and adjust the message template according to your needs.
If you want to add another recipient, all you need to do is repeat the same steps. It’s as easy as that!
